NotaireConnect: collaborative intranet for 14 notaries' offices

NotaireConnect is a franchise network comprising 14 notary practices that share a common quality charter. In 2024, each practice uses its own tools: SharePoint in six of them, Google Workspace in five, and Dropbox Business in the remaining three. No dedicated means of sharing deed templates or internal case law, or of communicating between clerks other than by email.

Compliance issue: end-to-end encryption is only guaranteed on Workspace (though not configured for everyone), and several studies have found scanned documents stored on employees’ personal Dropbox accounts. This poses a major GDPR risk in the event of a CNIL audit.

Objective: a unified private intranet, hosting within Europe, encryption at rest and in transit, and client portals for the secure transmission of documents (birth certificates, proof of address, bank details, etc.).

BuddyBoss Platform on WordPress 6.9 + WPGraphQL to expose an internal REST/GraphQL API used by a React Native mobile app (delivery postponed until late 2025). Coolify hosting on OVH Strasbourg (sovereign France), AES-256 disk encryption, real-time database replication.

ACF Pro document library with internal versioning (one draft, one version approved by the partner solicitor, immutable archive). Tagging by document type (sale, inheritance, gift, divorce). Full-text search with autocomplete.

Secure client portal: each client file generates a private sub-portal with a unique link (7-day expiry token) for uploading documents. Push notifications are being developed to alert clients as soon as a document is uploaded.

End-to-end encrypted 1-to-1 and group messaging (symmetric key per conversation, stored on the client side). Comprehensive audit log of all actions (GDPR Article 30 compliant).
